Codex One LLC operates as a business associate of the healthcare provider agencies that use our platform, and handles protected health information on their behalf in accordance with applicable law, including HIPAA. Each agency remains the owner of its own client data.
We collect the information an agency enters into the platform in order to operate it on the agency's behalf: account and contact details of agency staff, and the client records the agency maintains. We use it only to provide the service to that agency.
The above excludes text messaging originator opt-in data and consent; this information will not be shared with any third parties. Mobile numbers collected for text message notifications, and the consent given for them, are used only to deliver the notifications described in the text messaging program below. They are never sold, rented, leased or shared with anyone for any other purpose, and they are never used for marketing.

Codex One LLC provides the Codex ABA case management platform to healthcare provider agencies under a written service agreement with each agency. Access to the platform is limited to users an agency authorizes, and each agency is responsible for the accuracy of the data it enters and for the lawfulness of the consents it collects.
The text message notification program described below is optional for both the agency and the recipient. Enrollment can be ended by the agency at any time, and any individual recipient can stop receiving messages by replying STOP. We provide the service as described and do not guarantee delivery of any individual message, since delivery depends on mobile carriers outside our control.

Codex ABA sends text message notifications on behalf of the healthcare provider agencies that use our platform. We are the software provider; the agency holds the relationship with the person receiving the message. All messages are sent from a single toll-free number, +1 (833) 293-3280, and every message begins with the name of the agency it is sent on behalf of.
One thing only: reminders that a document is due or about to expire.
We send no marketing and no promotional messages, no appointment reminders and no verification codes. Messages never include a diagnosis, a treatment detail, a service code or any other protected health information.
Consent is collected by the provider agency, on paper, not by Codex and not on this website. When a family is admitted, or when a staff member is onboarded, the agency's intake form includes a separate, optional text messaging section. The person writes their own mobile number, ticks a box that is blank by default, and signs.
An agency cannot switch these notifications on in the platform until it confirms to Codex that it collects consent using the exact wording below, and the platform only sends to numbers recorded as consented. Consent is never bundled with any other permission, and it is never required in order to receive services.
This is the exact text that appears on the agency's paper intake form. Two versions are used, one for families and one for staff; the only difference is which documents are described.
Message frequency varies and is typically fewer than 4 messages per month, since messages are only sent when a document is approaching its expiration date. Message and data rates may apply. You can stop receiving messages at any time by replying STOP to any message; we reply once to confirm and then send nothing further. Reply HELP for help, contact your provider agency, or write to codex@codexaba.com. Opting out does not affect the services you receive from your provider.
